How to Apply for PF Registration Online: The MSME Employer's Playbook

Get you Funding Audit

If your business employs 20 or more people, you must register with the Employees' Provident Fund Organisation (EPFO). Registration is online, free and quick if your documents are ready. After that, the real work starts: monthly contributions and returns.

This guide is written as a playbook. Follow it top to bottom.

Step 0: Confirm you need PF registration

Use this checklist.

QuestionIf YES
Do you employ 20 or more people (permanent, contract, casual, all counted)?Registration is mandatory
Do you have fewer than 20 but want to offer PF?You can register voluntarily
Has your headcount dropped below 20 after registering? You stay covered. PF does not switch off when headcount falls
Are you a new company incorporating through SPICe+?EPFO registration is triggered with incorporation, so check your incorporation documents first

Note on the new labour codes: The Code on Social Security, 2020 came into force in November 2025 and now forms the legal base for EPF, alongside the rules being phased in. Thresholds and the definition of "wages" are worth re-checking with your advisor. Our explainer on the New Labour Codes covers the big changes.

Step 1: Collect your documents

Keep scanned copies (PDF, clear and under the portal's size limit) of:

About the business

  1. ☐ PAN of the business (or of the proprietor for a proprietorship)
  2. ☐ Proof of constitution: Certificate of Incorporation / LLP agreement / partnership deed / GST or Shop & Establishment certificate for a proprietorship
  3. ☐ Address proof of the establishment (rent agreement, electricity bill or property document)
  4. ☐ Cancelled cheque or bank statement of the business account
  5. ☐ GSTIN (if registered)

About the people in charge

  1. ☐ PAN and Aadhaar of the proprietor / partners / directors
  2. ☐ Digital Signature Certificate (DSC) of the authorised signatory. Need one? Get a DSC here
  3. ☐ Mobile number and email that the business will keep long-term

About your employees

  1. ☐ Employee list with Aadhaar, date of joining, date of birth and monthly wages
  2. ☐ Date the headcount crossed 20 (this sets your coverage date)

PF registration fees: EPFO charges no government fee for registration. You only pay if you use a consultant.

Step 2: Register on the EPFO Unified Portal

  • Go to the EPFO employer portal (unifiedportal-emp.epfindia.gov.in) and open Establishment Registration.
  • Sign up with the employer's details and verify the OTP.
  • Fill in the online registration form:
    1. Establishment name, type and PAN
    2. Date of setup and date of coverage
    3. Nature of business / activity
    4. Address and branch details
    5. Employer and employee headcount
    6. Details of directors, partners or the proprietor
  • Upload the documents from Step 1.
  • Sign the application with the DSC of the authorised signatory.
  • Submit. The portal generates your establishment code (PF code).

Save the registration certificate PDF in a folder your accountant can reach.

Step 3: Get UANs for your employees

Every employee needs a Universal Account Number (UAN).

  • Log in to the employer portal and go to Member → Register Individual.
  • Add each employee's Aadhaar, name (exactly as on Aadhaar), date of birth, gender, date of joining and wages.
  • Approve with the DSC. A UAN is generated and linked to your establishment.
  • If an employee already has a UAN from a past job, reuse it. Do not create a second one.

Tell employees to activate their UAN on the member portal and complete KYC (Aadhaar, PAN, bank). This prevents trouble with withdrawals and transfers later.

Step 4: Know the contribution maths

Contributions are calculated on basic wages + dearness allowance (DA).

ComponentRateWho pays
Employee share to EPF12%Deducted from salary
Employer share12%, split into:Employer
Employees' Pension Scheme (EPS)8.33% (on wages up to the ₹15,000 ceiling, so max ₹1,250/month)Employer
EPF (balance)3.67% plus any amount above the EPS capEmployer
EPF admin charges0.50%Employer
EDLI (insurance)0.50%Employer

Example: Basic + DA = ₹15,000/month

  1. Employee: 12% = ₹1,800
  2. Employer to EPS: ₹1,250
  3. Employer to EPF: ₹550
  4. Admin + EDLI: ₹75 + ₹75
  5. Total employer cost: about ₹1,950 per month on top of salary

Some establishments of 20 or fewer employees, and certain notified industries, may qualify for a reduced 10% rate. Confirm before you use it.

Step 5: File the monthly ECR and pay

The Electronic Challan cum Return (ECR) is your monthly PF return.

  • Run payroll and calculate PF for every member.
  • Prepare the ECR text file (most payroll software exports it) or enter it on the portal.
  • Upload the ECR on the employer portal and verify.
  • Generate the challan and pay online by the 15th of the following month.
  • Download the payment confirmation (TRRN) and file it with that month's payroll.

Late payment attracts interest (Section 7Q) and damages (Section 14B). Damages grow with the length of the delay, so a missed month gets expensive quickly.

Step 6: Monthly PF compliance calendar

WhenTask
Last working dayClose payroll; freeze attendance
1st–5thCalculate PF; add new joiners (UAN), mark exits
By 15thUpload ECR + pay challan
By 25thReconcile challan vs payroll; fix mismatches
OngoingApprove KYC and transfer requests from employees

Errors that block PF registration (and how to fix them)

ErrorFix
Name mismatch between PAN and AadhaarCorrect it at the source (PAN/Aadhaar) before you apply
DSC not registered or expiredRenew the DSC and register it on the employer portal
Wrong coverage dateUse the date headcount first hit 20. Backdating triggers arrears
Duplicate UAN created for an employeeAsk the employee to merge accounts. Don't create new ones
Business email belongs to an ex-employee or consultantUse an owner-controlled email from day one

Don't forget ESIC

PF and ESIC are separate registrations. If you have 10 or more employees earning up to ₹21,000 a month, you will likely need ESIC registration as well.

How long does PF registration take? If documents and DSC are in order, the establishment code is usually generated online at submission.

Can a proprietorship register for PF? Yes. Use the proprietor's PAN and a business proof such as GST, Udyam or a Shop & Establishment certificate.

What is the PF due date? Contributions and the ECR are due by the 15th of the following month.

Do contract workers count toward the 20? Yes. Workers engaged through contractors generally count toward coverage, and the principal employer is responsible if the contractor defaults.
