Changing your GST address looks like a five-minute job. It isn't hard, but it is unforgiving. One mismatched document or one wrong option and you're answering notices for weeks.
Below is the correct process, followed by the nine mistakes we see MSMEs make most often.
Before you start: is this an address change or a new registration?
The correct process (same-state move)
- Log in to gst.gov.in.
- Services → Registration → Amendment of Registration Core Fields.
- Open the Principal Place of Business tab.
- Enter the new address exactly as it appears on your documents.
- Select the nature of possession (owned / rented / leased / consent / shared).
- Upload proof of address and proof of possession.
- Enter the reason for amendment and the date of change (the date you actually moved).
- Verify with DSC (companies/LLPs) or EVC, and submit.
- Note the ARN and track the status under Services → Track Application Status.
Timeline: Apply within 15 days of the move. The officer typically decides within 15 working days or raises a query. Once approved, download the updated registration certificate.
The 9 mistakes that get GST address changes rejected
Mistake 1: Using the wrong amendment option
Changing the PPOB is a core field. Editing the non-core section won't change your registered address, so you'll think it's done when it isn't. Fix: Always use Amendment of Registration Core Fields for the main address.
Mistake 2: Trying to "change address" to another state
GST registration is PAN-based and state-based. You can't move a Maharashtra GSTIN to Gujarat. Fix: Apply for a new registration in the new state.
Mistake 3: Address mismatch across documents
"Shop No. 4, Sai Plaza" on the rent agreement, "S-4 Sai Plaza" on the electricity bill and "Sai Plaza Shop 4" on the portal is one of the top reasons for rejection. Fix: Type the address exactly as it appears on the primary proof, and make sure the documents match each other.
Mistake 4: Unsigned, expired or unregistered rent agreement
An agreement that has expired, or is unsigned or unregistered where registration is required, is a red flag. Fix: Upload a current, signed agreement, registered where your state requires it.
Mistake 5: NOC from the wrong person
If you operate from a relative's property or sublet space, the NOC must come from the legal owner, not the tenant. Fix: Get the NOC signed by the owner shown on the property tax receipt or electricity bill, and attach the owner's ID.
Mistake 6: Old or illegible electricity bill
Fix: Upload a recent utility bill (typically within the last couple of months) as a clear, readable PDF.
Mistake 7: Wrong "date of change"
Entering today's date when you actually moved two months ago, or a future date, creates inconsistencies with invoices and e-way bills. Fix: Enter the actual date you started operating from the new address, and apply within 15 days.
Mistake 8: Forgetting the knock-on updates
After approval, your invoices, e-way bills, letterheads, signboard, bank records, Udyam, Shop & Establishment licence and marketplace seller accounts still show the old address. Fix: Keep a post-approval checklist (see below).
Mistake 9: Ignoring the query notice
If the officer raises a clarification and you miss the deadline, the amendment can be rejected. Fix: Check the portal and your registered email daily until approval, and reply with exactly the documents requested.
Documents checklist
After approval: the knock-on checklist
- ☐ Download the new GST certificate and display it at the new premises
- ☐ Update the address in your billing software and e-way bill master
- ☐ Inform customers and vendors (GSTIN stays the same, only the address changes)
- ☐ Update Amazon/Flipkart/Meesho seller accounts
- ☐ Update Udyam, Shop & Establishment, professional tax, bank and IEC (if any)
- ☐ For companies: check whether your registered office under the Companies Act also changed, since that needs a separate MCA filing
